Board & Association Meeting
May 4, 2010

Present: Taryn Anderson, Jessica Babbitt, Sue DorVillers, Bonnie Fowler, Lucia Ginter, Joanne Hargreaves, Jean Hazen, Brenda Marino, Elizabeth Tischio, Barbara Wallach and the Library Director, Todd Fabian

Excused: Cathy Hinsch, Paula Bladek, Robin Heath, Ralph Sayward John Simonzi, Chris Zawacki, and Ashley Baker

Meeting Called to Order at 7:10pm.

Approval of Agenda; Jessica Babbitt and Bonnie Fowler

Approval of Minutes from April 2010 Meeting: Brenda Marino and Lucia Ginter

Treasurers Report Reviewed and Submitted by Jessica Babbitt

Directors Report:

  • BOF Meeting attended by Todd Fabian and Jessica Babbitt
  • Elevator Repairs on hold till further notice
  • On-line Catalogue is in need up repair/maintenance, on hold till after final budget reviews
  • Funds cut back in books ordered verses cutting back staff/library hours
  • Todd with the help from the Board is looking for ways to supplement the cut in the budget
  • Well update – down has suggested that we begin the process to have the well repaired in the next 12 months; they will assist with the cost. BOF & Lee Vito are aware of the well situation, Todd Fabian has been supplied with names of local companies to go to bid/interview. Once we chose a company to move forward with we must submit to the sate for approval
  • Grounds clean-up was not as productive as planned. Todd Fabian, Taryn Anderson Sue DorVilliers’ family, Lee Houle and the gentleman from the landscaping company were the only ones present. Members are asked to please stop by and assist in the completion of the flowerbeds before out June 5 th event.
  • Boy Scout Lee Houle has elected for his Eagle Scout Project to be a picnic area behind the Levi E. Coe Library. He met with Todd to discuss his idea; Lee will put together a plan and present to the Board for approval
  • Phone-A-Thon information has been updated in Gift Works and will continue to be updated as donations are received. Cathy Hinsch, Bonnie Fowler, Barbara Wallach and Sue DorVilliers will be the first trained on the program.

Friends Group – No Updates; Taryn will reach out to Melissa for Volunteer Help on Judge Coe Day.

Building and Grounds: No New Updates; please see Directors Report section for Well update and Grounds Clean-up

Finance: No new updates

Membership: Town has one vacancy on the Board

Personnel: Taryn Anderson, Sue DorVilliers and Barbara Wallach will meet after Judge Coe Day to begin a review and update of the Personnel Policy

BookSale/BakeSale: Set for November 5 th and 6 th; the library is already accepting book donations for the event. Jessica Babbitt and Chris Zawacki are organizing the event

Judge Coe Day:

  • Letters have been sent to local food establishments asking for their support in the picnic portion of the event
  • Perrotti’s Country Barn and Ice Cream Caboose has committed to the donation of the ice cream, topping and accessories for the event
  • The New Two Cat Band featuring Mike Michaels has committed to a 7pm concert, Taryn Anderson has donated half to cost of the concert
  • A craft table will be set-up for the event; craft items donated by Taryn Anderson
  • The 5pm to 6pm entertainment has not been confirmed; but have been trying to get in touch with the Oddfellows Traveling Circus
  • Volunteers are needed for the Craft Table, Selling of Ice Cream Tickets, Serving of the Ice Cream, and overseeing the grounds.
  • Taryn Anderson has been working with Vicki Berry and Pam Wooding to put the event together and will have posters up around town within the next few weeks.

New Business: None

Group Discussion:

  • Suggested that the Library Board look into investing in signs for event that the dates can be changed, but can be used around Town; i.e. Middlefield Town Green, Rockfall Fire Whistle Station etc.
