May 6, 2008 Minutes of the Levi E. Coe Library Board Present: Bonny Fowler, Jean Hazen, Taryn Anderson, Julie Carroll, John Grome, Jessica Babbit, Chris Zawacki and Todd Fabian Meeting called to order at 7:09 p.m. Public Comment Section Mary Ann Corona asked for the Agenda to be put on record. Executive session was suggested by Julie and Taryn seconded. Mary Ann said this was not in accordance with the Freedom of Information Act. At 7:18 the public left and the board was introduced to the guests: Jon Brayshaw, 1 st Selectman, Paul Pizzo, Board of Finance and Alice Malcolm. Structural defects of the Library were discussed and major needs were mentioned. Any sale of Library property must be voted on by a special meeting of the Library Association. Jon Brayshaw’s letter was read recommending the land be purchased by the town for open space and discussing the possibility of future takeover of the Library by the town. Paul Pizzo stated that the town can procure better grants than the Library or perhaps the town could offer the Library a 99 year lease. Jon Brayshaw stated that there should be a public meeting about the Library but first the incorporation papers and the origin of the bequest should be researched. No decisions were made or votes taken. At 8:16 pm the Board came out of executive session. The amended minutes were approved by Julie and Jessica. T.D. Banknorth has stated that they will put up a notice about the Peter Hewes Memorial in their Middlefield Branch. Treasurer’s Report Presented to the Board Director’s Report Presented to the Board, suggested that we start to send monthly agendas/minutes to the town in addition to posting the material on our web page. Building and Ground’s Report John and Julie will meet with Mary and Joe Dattilo to retrieve files regarding Janet Hubbard and a variety of Library information. Old Business Phonathon discussed and lunch for the staff was well received. New Business The Library Board needs to find a new lawyer to cover a variety of relevant issues, preferably one who specializes in working with non-profits. Meeting adjourned at 9:21 p.m. by Jean Hazen, seconded by Jess Babbit.
